One user, multiple numbers: An admin guide to Teams Phone multiline calling

Microsoft Teams Phone now has a capability many organizations have been waiting for: the ability for a single user to manage and call from multiple assigned phone numbers directly within the Teams mobile app. Rolled out in late July 2026, this feature closes a meaningful gap between what Teams Phone could do on desktop and what was available on iOS and Android. Here is what the change involves and what IT administrators should do in response.

What the feature actually does

Previously, Teams Phone multiline functionality existed on desktop but was not fully available on the Teams mobile app. With this update, users who have been assigned multiple phone numbers in Teams Phone can now see and manage all their assigned lines within the Calls area of Teams mobile. When placing a call from the dial pad, users can select which number to call from before dialing. When returning a call from their call history, they can choose the line to use.
A unified call history is available across all assigned lines, with the ability to filter by specific number. This makes it easier for users to manage calls from different numbers for different roles, regions, or business entities, since they no longer need to track separate call logs or switch between devices or profiles.
The feature is available on iOS and Android and applies to users who already have multiple phone numbers in Teams Phone. No configuration changes are required for the feature to become available after rollout; it extends existing Teams Phone assignments rather than introducing a new provisioning requirement.

Who this affects

The update applies to organizations using Teams Phone and specifically to users assigned more than one phone number. Common scenarios include employees who manage a direct number alongside a shared team line, sales or customer service staff who handle calls for multiple territories or product lines from the same device, and administrators or executives whose role requires availability on both a personal direct number and a department number.
Users with a single assigned number will not see any change in their experience. The multiline interface only appears when more than one number is active on an account.

IT admin checklist: What to review after rollout

Administrators should use the rollout as an opportunity to review several areas that directly affect call management and regulatory compliance.

1. Review which users currently have multiple phone numbers assigned.

The Teams admin center provides this view under Users > Manage users, where phone number assignments are visible per account. Some users may have accumulated multiple numbers over time without using more than one. The rollout is an opportunity to clean up assignments and ensure each number in use has a clear business purpose.
2. Verify emergency address configuration for every assigned number.

Each phone number active in Teams Phone should have a valid emergency address linked to it. This is a regulatory requirement in most jurisdictions, and numbers added to accounts without a complete address can create compliance gaps. The Teams admin center flags numbers without emergency addresses; fix these before they become a problem during an actual emergency call.
3. Confirm that number assignments reflect current organizational structure.

Staff changes, role transitions, and department reorganizations can leave phone number assignments misaligned with current roles. A post-rollout review is a good opportunity to update those assignments, particularly when users still have numbers tied to projects or positions that have since ended.

The broader context: Teams Phone on mobile

This update continues Teams Phone’s move toward greater parity between desktop and mobile calling. For organizations that rely on Teams Phone for business calls, a consistent experience across devices matters. Employees expect to manage calls from their phones as easily as they do from their desks, especially when they use multiple numbers. Closing these functional gaps allows teams to stay fully connected and reachable without sacrificing administrative control or security.
